Drupal: login and editorial environment

In this article you will find general instructions for working in Drupal. Please read this before you start working in Drupal.

Login

Drupal is accessible from the Radboud University network. This means that you only have access if you:

  • are working on campus;
  • are working on the Radboud University network via an eduVPN connection.

Create an account

Before you can work in Drupal, you need an account with the correct rights. For that, you must first log in to Drupal once. To do so, follow the following steps:

  1. Consult with the target group or domain team manager about what editorial role you need to be able to work in Drupal.
  2. Go to https://www.ru.nl/login and log in with your Radboud account (U or E-number). You are now known in the Drupal environment, but do not yet have the rights to make edits in Drupal.
  3. Send an e-mail to [email protected]. In it, mention who you are and what you will be using Drupal for. Include the target group or domain team manager in the cc.

Based on your e-mail, you will be given the correct rights.

Login with account

If you have an account, you can log in to work in Drupal.

  1. Go to https://www.ru.nl/login.
  2. Click on 'Login with SURFconext' and login with your Radboud account login credentials (U or E-number).
  3. You are now logged into the editorial environment of Drupal.

Problems logging in

Unable to log in? Check the following points:

  • If you are not on campus, check eduVPN. Is eduVPN turned on?
  • Do you see a message of "insecure connection" or something similar? If so, just click through. This can happen especially with Chrome.
  • Do you see a white screen with "This site is not accessible"? Then you can't reach the input environment with your IP address. Find your IP address at https://ipchicken.com/ and report it to [email protected]. Also report which browser you are using. They will ensure that you can access the site from your IP address.

Still can't log in? Then send an e-mail to [email protected]. Mention your problem. Also tell them which browser you are using. They will help you further.

Editorial Environment

Once you are logged in, you will enter the editorial environment. A menu appears at the top of the page. The black bar displays your role(s). As an editor, you go to the 'Content' tab. Here you will find all the content already entered and you can add new content yourself.

  1. Use the filter options to search for content:
    • Title: filter by title of the content item
    • Content type: filter on content type
    • Publication status: filter on published or unpublished
    • Language: filter on EN or NL
    • Click on the Filter button to perform the search.
  2. To the right, you will find the Media tab. This is the image repository in Drupal where you will find all images, audio, documents and videos.
Entering content: the editor

Click + add content to open the list of content types and enter new content in one of the content types.

Layout

When you enter content, make sure it is formatted properly in Drupal.

Do not copy and paste content directly from a Word or Google Drive document into Drupal. First, paste the text into a plain text editor, such as Notepad or Notepad. This way you avoid including "hidden" formatting. This can cause strange formatting in Drupal, such as unwanted extra whitespace.

Use styles in Drupal to format your content:  

  1. Use Bold or Italic buttons in running text.
  2. Add bulleted lists.
    • Use bullets for unnumbered lists.
    • Use numbering for numbered lists.
  3. Insert a link in running text.
    • Select the text
    • Click the link button in the editor, a url window will open
    • Start typing to add an internal link, or add the external link address in the url field
  4. Highlight text.
    • Select the text
    • Click Style/style and choose Highlight
  5. Use headings for titles and subheads.
    • Format titles and headings properly. The title of the page is Heading 1. For intermediate headings, use the styles Heading 2, 3, 4.Selecteer de tekst
    • Go to 'normal' and select the desired heading
  6. Create a button:
    1. Select the text
    2. Create a link
    3. You can now choose a primary button or secondary button under Style/style.
Save, publish and delete content

You can save, publish and delete content in Drupal in several ways.

  1. Save as draft (new revision): this button allows you to save content before you are finished. It also allows you to save your work if you have not yet filled in required fields.
  2. Save and publish (all translations): this button publishes the content item and its translations on the website. Content is then findable and visible.
  3. Save and depublish: with this button you save any changes and take the content offline. Content will no longer be findable or visible.
  4. Delete: this button removes content from Drupal. This is final. You and your colleagues can no longer see or use this content. Be careful with this.

Note: if you want to add content to the compiled page, such as a list of projects or a testimonial, the content must be published. Otherwise, you won't find it.
